Privacy Policy

Who this policy covers
- Hotel customers — sales teams and administrators who subscribe to and operate CatchyProposals.
- Proposal recipients — planners, buyers, and their colleagues who open a proposal link a hotel has sent them.
- Site visitors — anyone browsing our public pages.
Information we collect
- Account information — hotel name, contact name, email, city, seat and role assignments, and billing records for the subscription.
- Proposal content — the photos, floor plans, rates, menus, event details, and other material a hotel uploads or approves for its proposals.
- Proposal-view activity — engagement information collected when a proposal link is opened, described in full in section 3.
- Technical logs — standard server logs (IP address, browser type, timestamps) used for security and reliability.
Proposal-view analytics: what the sending hotel sees
Proposal links are how hotels share their offer, and engagement reporting is a core feature of the Service. When you open a proposal link, we collect:
- Opens — that the proposal was opened, when, and how many times.
- Approximate location — a city/region-level location estimated from your IP address. We do not collect precise GPS location.
- Section engagement — which sections of the proposal you view and interact with, and for roughly how long.
- Device basics — browser and device type, so the hotel knows the proposal displayed correctly.
This engagement information is shared with the hotel that sent you the proposal so its sales team can follow up appropriately. It is not sold, and it is not shared with other hotels or unrelated third parties. If you do not want this information collected, do not open the proposal link — contact the hotel that sent it and ask for another format.
Cookies
We use first-party cookies that are necessary to operate the Service: keeping hotel users signed in, and keeping a proposal recipient’s private link session working while they view a proposal. We do not use third-party advertising cookies on proposal pages.
How we use information
- To operate, secure, and support the Service and published proposal links.
- To provide engagement reporting to the sending hotel (section 3).
- To bill subscriptions and communicate with account owners about the Service.
- To improve reliability and features using aggregated, de-identified usage patterns.
When we share information
- With the sending hotel — proposal-view analytics, as described in section 3.
- Service providers — hosting, payment processing, and email delivery vendors who process data only on our instructions.
- Legal — when required by law, or to protect the rights, safety, and security of the Service and its users.
- We do not sell personal information, and we do not share it for cross-context behavioral advertising.
Data retention
Account and proposal content is retained while the subscription is active and for a reasonable export window after it ends. Proposal-view analytics are retained while the related proposal remains active for the sending hotel. Server logs are retained on a rolling basis for security purposes.
Security
Proposal links are private, unlisted, and access-controlled; hotel accounts are protected by authenticated sessions; and data is protected in transit with TLS. No method of storage or transmission is perfectly secure, but we treat proposal confidentiality as a core product requirement — a leaked rate sheet is a lost deal, and we build like we know it.
Your choices and rights
- Hotel customers can review, correct, or export their account data and content by contacting us.
- Proposal recipients can ask the sending hotel or us to delete engagement records tied to them.
- Depending on where you live, you may have additional rights to access, correct, or delete personal information; we honor confirmed requests sent to support@catchyproposals.com.
Children
The Service is for business use and is not directed to children under 16. We do not knowingly collect personal information from children.
Changes to this policy
We may update this policy from time to time. For material changes we will notify account owners by email and update the date at the top of this page.
